General Program FAQs

Why is Ford switching from paper to electronic?

The current process with paper has proven to negatively impact events through lost funds from waivers being filled out illegibly/incorrectly, time delays on donation checks being sent out, and private offer being delayed to customers. This new process allows shorter on-site time by allowing participants to pre-register, limits rejected waivers resulting in highest donation amount possible, and ensures expedited donation check and private offer delivery to participants.

How much money can we raise?

Benefiting organizations will earn $20 per household for each valid test-drive at the event with a maximum donation of $6,000.*

Where does the event happen?

For the upcoming Fall 2020 session, all Drive 4 UR School and Drive 4 UR Community events are required to be held at the dealership. Events should be held on one day and at one location only.

What is the difference between Drive 4UR School and Drive 4 UR Community?

The Drive 4 UR School program is designed for dealerships to partner with any public or private elementary, middle, or high school in addition to any organization in which the funds will directly benefit or go back to a school in any capacity. Drive 4 UR Community is designed for dealerships to partner with local or national community organizations and non-profits. See Drive 4 UR Community's charity guidelines.

How do participants access the virtual test-drive experience?

Dealers will receive a unique URL they will need to push out to the participant in order for the participant to pre-register for the event and access the virtual test-drive experience.

How long does the participant have to take a virtual test-drive?

The virtual test-drive experience is a one-day only event, similar to a physical test-drive event. The participant will have until 11:59pm the day of the event to take a virtual test-drive.

Which vehicles are featured in the virtual experience?

Participants can choose one of three vehicles: Bronco, Mach-E, and F-150.

Is the virtual test-drive experience available in Spanish?

Yes, the user will be able to complete the full virtual experience in Spanish or English. Downloadable Hispanic Materials are also available on our website.

Does a consumer have to be 18 years or older with a valid driver's license to take a virtual test-drive?

Yes, a participant has to be 18 years or older with a valid driver's license.

Do participants have to download anything to access the virtual test-drive experience?

The virtual experience will be available on a webpage – nothing will need to be downloaded by the participant. This will be accessible on desktop and mobile

Do I have to have an affiliation with the organization or school to participate?

No. Anyone who is 18 years or older and has a valid driver's license can participate on event day. And you can feel good doing it knowing that you are helping the community!

Which vehicles will be available?

Dealers are encouraged to bring a full lineup of products with the highest trim level available. It is up to the dealership to determine which vehicles will be featured at the event. Most Ford vehicles are eligible for test-drives; however, test-drives completed in a Crown Victoria, E-Series, Lincoln or Mercury vehicles are not eligible for a donation.

Who can drive?

Anyone 18 years or older with a valid driver's license can participate. This person does not have to be an organization member in order to qualify.

Can we supplement our event fund-raisers?

Yes! Feel free to attract people to your fund-raisers in whatever way you like. Bake sales, talent shows, car washes, sporting events, open houses ─ whatever drives people your way! However, you cannot host both a Drive 4 UR School and Drive 4 UR Community event on the same day.

Can a Drive 4 UR Community event benefit more than one organization?

No, a dealership may only partner with one organization during a single Drive 4 UR Community event.

Can a Drive 4 UR School event benefit more than one club or activity?

Absolutely! Supporting multiple clubs increases the chance of reaching the $6,000 donation.* Please be aware that Program HQ will send only one check per event. It is the lead school’s responsibility to distribute the funds among clubs or activities.

Can I host a dual virtual test-drive and physical test-drive event?

Yes, if your dealership is selected to participate in an event this fall, your dealership has the option to host a virtual only test-drive event, or a dual virtual and physical test-drive event. You must inform PHQ of your interest in hosting a physical event via the survey sent to your dealership in your initial selection email.

What if I enrolled in a dual virtual test-drive and physical event and want to switch to a 100% virtual event?

You are able to switch your event to a 100% virtual test drive prior to your event date. Please contact PHQ as soon as possible to ensure the event is fully transitioned.

Is the donation amount per test-drive the same as a physical test-drive?

Yes, benefiting organizations will still earn $20 for each valid test-drive at the event with a maximum donation of $6,000. One donation per person, per household.*

How should I promote my virtual event?

The Program Materials has a variety of promotional materials you can utilize. This includes: PR Toolkits, Email Templates, Social Media Graphics and more. If you have any additional questions on how to promote your virtual event, please contact Program HQ at drive4urschool@gtb.com.

Are leads still generated from virtual test-drives?

Yes, leads are captured the same as physical test-drives.

Does having a dual virtual and physical test-drive event cause a delay in receiving the donation check?

No, the check is still delivered 4-6 weeks after the event.

If I am hosting a virtual test-drive only event, is my PMA automatically approved?

All physical + virtual test-drive events for Fall 2020 are required to be held at the dealership, which makes them automatically PMA approved events.

If I am hosting a dual virtual test-drive and physical test-drive event, when do I receive my event kit?

Dealers who want to host a physical event must confirm this with Program HQ 3 weeks before their event and request an event kit (if they haven’t received one already). Kits will not automatically be shipped unless requested due to the ever-changing nature of COVID-19.

Is the virtual test-drive experience available in Spanish?

Yes, the user will be able to complete the full virtual experience in Spanish or English. Downloadable Hispanic Materials are also available on our website.

Will I be receiving devices for electronic waiver events from Ford?

No, Ford will not be supplying devices for these events. Dealers will need a device to check participants in and out of the event (can be a smartphone, tablet or laptop) and participants can use their own personal devices to fill out the waivers. Dealers can also supply their own laptops or tablets at the event for participants to fill out the surveys (if wifi is available) instead of consumers using their own personal devices.

Where can I find trainings on the electronic waiver process?

The Program Materials section of the D4URS/C website has an Electronic Waiver Training Guide, an Electronic Waiver Flowchart, and Electronic Waiver Webinar Access Instructions. Through the Dealer Portal, you can access a training video, a link to the webinar instructions, and the Electronic Waiver Training Guide at any time.

Is Wifi required at my event?

A Wi-Fi connection is not required to hold the event. It is only required if internet connection through cell phone data is not available. Participants can use their smartphones to access the survey and dealership can use their smartphones to check consumers in and out. Dealers’ smartphones can also function as a hot spot for laptops and tablets, should the dealership choose to use them. The dealership will need to work with the organization/school to best prepare for the event.

If participants use their own personal devices, does the dealership need a device?

Dealership staff/volunteers need a device to check participants in and out of the event. This can be a smartphone if no other devices are available. Dealership staff/volunteers can use multiple devices simultaneously to check participants in and out.

What if participants forget to take the post-event survey at home?

Participants will be sent a reminder text message/email 4 hours after the post-drive survey is originally sent. They have until 11:59pm of the day following the event to complete the post-drive survey.

What if participants don’t want to give out their phone or email?

Phone number OR email is required for this process, in order to submit the waivers properly. This information is ONLY used to send the test-drive survey to complete. Participants will not receive any other information unless they opt-in to receive Ford communication. If they want to use an old, out of service number/email, they can, but they must be going through the Dealer Portal when filling out both the pre-drive and post-drive surveys.

How do I attend the webinar training for electronic waivers?

Training Webinars will be held at 3PM EST on the following dates: September 10, September 23, September 30, October 14, October 28, November 11, and December 2. For instructions on registering/attending the webinar training, please download the Electronic Waiver Webinar Instructions under the Program Materials of the website.

Is there a backup plan if I’m having technical issues the day of my event?

Should you experience an issue the day of your event, you must contact Latitude Digital at (313) 486-5963 to troubleshoot through your issues. If technology is absolutely not working, Latitude Digital will grant permission to a PDF of the paper waivers as a backup for those participants experiencing issues. The dealership will be responsible for printing the waiver, should they be granted permission.

Do we need to provide/purchase iPads/laptops for participants to access the survey?

No - participants can complete the pre-drive and post-drive surveys using their personal smartphones.

What is the difference between a Kit vs. Kit Light?

In an effort to be green, dealers will receive a complete event kit for only the first Drive 4 UR School and Drive 4 UR Community events hosted in 2020. A "Kit Light" will then be sent to any subsequent events of the same program type. Dealers will need to hold on to kit items from the first complete kit for use in future events. If you received a new tent in 2019, your dealership will not be sent a tent in 2020.

Can I make changes to my event after enrollment?

We understand circumstances arise that may require you to change some aspects of your event. Due to how events are tracked and kits are planned, these details can impact overall program logistics. In order to request an event change, dealers must complete an Event Change Request Form, found on the Program Materials page, and submit it to drive4urschool@gtb.com or drive4urcommunity@gtb.com based off of the respective program the event is participating in. Requests must be submitted at least 5 weeks prior to your scheduled event date and will be granted at the sole discretion of Program HQ. Please note that as of 2019, dealerships will only be permitted to make changes one time per event. If you need to make multiple changes to an event, you must do so all at once and utilize one form.

How long does it take for schools or organizations to receive their check?

The groups can expect to receive their check approximately six to eight weeks from the date Program HQ receives your completed waiver/survey forms. Please note that we cannot send checks to P.O. boxes, and that checks cannot be made out to the dealership or an individual.

How should I promote my event?

Be creative! Post the event flyers and posters in high-traffic areas around the dealership and school or organization to generate awareness. With permission of local businesses, feel free to spread the word to the rest of the community via their establishments. Send invitations and announcements to community leaders. Use social media to spread the word!

Is there anyone I can talk to who has hosted an event before?

Yes. Please contact Program HQ and we can put you in touch with a dealership/organization that has hosted successful events.

When hosting a Drive 4 UR Community event, do I have to work with a pre-approved charity?

No, you may work with other organizations outside of the pre-approved charity list. If you are interested in partnering with a charity or organization that is not pre-approved but in accordance with the charity approval guidelines, simply indicate so on the enrollment form. Once Program HQ receives the request, it will go through a charity approval vetting process. Program HQ will contact the dealer within five to seven business days with confirmation if the organization is approved. If the organization is approved, the dealership will receive an official confirmation email. We do not recommend planning or promoting with the desired organization until confirmation of approval has been received from Program HQ. If the request is denied, the dealer will have 3 weeks to choose a new organization. Please note that any organization in which the funds will directly benefit or go back to a school in any capacity is considered a Drive 4 UR School event and will not be eligible for Drive 4 UR Community.

Can I host a Drive 4 UR School AND a Drive 4 UR Community Event?

Yes, you can host both Drive 4 UR Community and Drive 4 UR School events, but they CANNOT be held on the same day. For additional information, please contact Program HQ.
